The Patient Access Staffing Supervisor plays a critical role in making the process of accessing and facilitating care for our patients a positive one. He/She contributes to this process by: managing staffing processes, creating and overseeing master schedules and daily staffing within approved systems, budgets and contracts, works with other leaders to utilize staff in a manner which is productive, high quality, and customer-oriented.

Responsibilities/Job Description

Job Expectations:

  • Analyzes data and trends to determine staffing levels based on volume of customer interactions and service level agreements.

  • Produces, maintains, and updates staffing schedules.

  • Oversees the utilization of human resources related policies; partners with operational leaders regarding employee compliance.

  • Supports staffing conversations for all channels of customer communications (i.e. – voice, web, chat, etc)

  • Responsible for securing shift coverage as appropriate.

  • Receives, reviews and responds to ill/absence calls on daily basis and makes appropriate staffing adjustments.

  • Communicates staffing concerns to appropriate leadership (i.e. – shortages, surplus, patterns/trends).

  • Maintains staffing reports for administration

  • Actively participates in creating and implementing improvements; specifically related to staffing and time management improvements.

  • Develops and submits quarterly plan for staffing needs. Partners with leaders to evaluate effectiveness of action taken to improve quality of unit.

  • Partners with and supports operational leaders to ensure the department meets the needs and expectation of the organization and its customers.

  • Coordinates an effective communication/information system within Patient Access.

  • Manages staffing according to established budget and provides support to operational leaders to ensure proper utilization of resources on various shifts.

  • Actively participates in required meetings.

  • Maintains knowledge of, and complies with, all relevant laws, regulations, policies, procedures and standards.

  • Performs other responsibilities as needed/assigned.

  • 2 year technical or college


  • Strong experience in working with computers and MS Office Suite (especially Microsoft Excel)

  • Attention to detail (achieves accuracy and thoroughness in completing work)

  • Organization: Effective management of projects, deadlines, and work load prioritization

  • Planning: The process of setting goals, developing strategies, and outlining tasks and schedules to accomplish the goals.

  • Staffing and scheduling coordination experience (1 year+)

  • Scheduling: Knowledgeable in assigning appropriate resources to meet business needs in a timely and accurate manner.

  • Communication – Strong written & verbal



  • 4 year degree


  • 1 year of supervisory experience

  • Contact Center experience

  • Experience working with Workforce Management tools

  • Knowledge of healthcare operations

  • Staffing and scheduling coordination experience in a contact center environment
