Job Description

The Operations Coordinator will support the Field Service Manager to attain target Order Intake and Sales goals. Assist in Field Operations in such a manner so as to minimize warranty expense, maximize revenue, customer satisfaction and utilization of Field Service Technicians.

Essential Functions:

  • Support Field Service Manager in providing work direction to ensure an efficient and profitable utilization of Field Service Team for machine installations, general repair and maintenance and /or warranty service calls.

  • Coordinate the activities of Field Service Technicians that are involved with projects and provide work direction, as needed.

  • Provide process improvements to the department.

  • Ensure that Field Service team has necessary documentation needed for Modification, CoC and Service appointments.

  • Assist Field Service Manger in reviewing and maintaining team activities to achieve the annual team budget.

  • Review Field Service Reports and take any necessary actions.

  • Proactively follow up with customers after service work to be certain customer satisfaction was achieved.

  • Work with Modernization department for entry of RFQ’s, orders, maintaining tracking logs and supporting sales staff.

  • Represent department, as required by Field Service Manager, in cross-functional teams or projects to continue a positive working relationship with CoC.

  • Manage and maintain organization of Field Service data on the network.

  • Prepare estimates for service and training to customers.

  • Manage invoicing of service orders on a timely basis.

  • Maintain log of active estimates and follow up with customers on service status.

  • Perform other duties as assigned by Field Service Manager.

Qualifications

BASIC REQUIREMENTS:

  • Must possess a minimum of a High School Diploma.

  • Must have a minimum 2+ years of experience in a field service, dispatching, scheduling or planning role.

PREFERRED QUALIFICATIONS:

  • Outstanding planning and organizational skills.

  • Prior experience coordinating schedules for a remote team of employees.

  • Attention to detail and accuracy in all phases of work performed is critical.

  • Extremely professional telephone etiquette and excellent customer services skills.

  • Demonstrated written and verbal communication skills.

  • Proficient PC usage with Microsoft Word, Excel, Outlook.

  • An Associate’s degree desired.

  • Ability to perform multiple tasks with accuracy and professionalism.

  • Demonstrated ability to independently resolve planning issues.

  • Utilize innovation and creativity to generate forward-looking ideas.

  • Proficiency with SAP navigation skills highly desired.
